The verdict

If your team already pays for Google Workspace Business Standard or higher, Gemini is built into the tools you use all day: Gmail, Docs, Sheets, Slides, Meet and Drive. That makes it the lowest-effort AI assistant to adopt. If you work mainly in Microsoft 365, or you want the strongest standalone assistant regardless of ecosystem, compare Copilot, ChatGPT and Claude first.

Best for: Google Workspace teams; individuals who want AI inside Gmail and Docs; budget-conscious users (Google AI Plus is $4.99 a month).
Skip it if: your office runs on Microsoft 365; you need heavy daily use on the free tier; or you use a personal Google account for client work and haven’t reviewed its privacy settings.

Two ways to get Gemini, and why it matters

There are two separate routes to Gemini, and the difference matters more than any feature.

A personal Google account with a Google AI plan (Free, Plus, Pro or Ultra). You pay per person.
A Google Workspace business account. Since January 2025, Gemini has been included in Workspace Business plans rather than sold as an add-on. On Business Standard and above you get Gemini across Gmail, Docs, Sheets, Slides, Drive, Meet and Chat. Business Starter gets a more limited version.

The routes also handle your data differently (see “Where it falls short”). For client work, the Workspace route is the one to use.

What Gemini does well at work

It works where your documents already are

Gmail: summarises long threads, finds key details and drafts replies.
Docs: writes first drafts in your tone and style.
Sheets: builds tables and spreadsheets from plain-language prompts.
Slides: adds designed, editable slides to an existing deck.
Meet: takes notes and translates captions.
Drive: finds and summarises information across your files.

Research and long documents

Deep Research is available even on the free plan, with more use on paid plans. Google AI Pro supports a context window of up to 1 million tokens, enough to work with very long reports or many files at once. Gemini Notebook (the tool formerly called NotebookLM, renamed in July 2026) lets you ground answers in your own sources.

Where it falls short

Usage limits can surprise you. Google moved to compute-based limits in May 2026: heavier prompts, big files and Deep Research use up more of your allowance. Users complained about hitting limits quickly, and Google has since adjusted how limits are counted.
Business Starter is limited. The full set of Workspace features starts at Business Standard.
Personal-account privacy defaults. On personal accounts, Gemini’s “Keep Activity” setting is on by default. Google says it uses that activity to improve its models, including for training, and a sample of chats is reviewed by people. Workspace accounts are different: Google says it does not use Workspace customer data to train models without permission.
Language and country coverage varies. Every feature works in English, but some Workspace features support only a subset of languages.
Check its work. Like every AI assistant, Gemini can state wrong things confidently. Verify facts, figures and citations before you rely on them.

Google also sells an “AI Expanded Access” add-on for some Workspace plans with higher limits. Google hadn’t published its price on the pages we checked.

Gemini vs the alternatives

Microsoft 365 Copilot: the equivalent pick for Microsoft 365 offices. Copilot Business is $18/user/month on an annual plan (a promotional price) or $25.20 month to month.
ChatGPT: the most general-purpose option. ChatGPT Business is $20/user/month billed annually, or $25 monthly.
Claude: strong for long documents and careful writing. Claude Team is $20/seat/month billed annually, or $25 monthly.

Who should choose Gemini?

Choose Gemini if your work already runs through Google Workspace. It is the assistant that needs the least change to how you work, and on Business Standard and above you’re already paying for it. Look elsewhere if you’re a Microsoft 365 office, or if you mainly want a standalone assistant and don’t care which ecosystem it lives in.
